Discover the benefits of using the F3M ERP to manage your social solidarity institution (IPSS).
TweetIn a constantly changing world, especially in digital terms, one of the greatest innovations for social solidarity institutions (IPSS) has been the ability to control and manage their day-to-day operations securely and flexibly by implementing an ERP (Enterprise Resource Planning).
Taking into account the specific characteristics of the social sector, the F3M ERP enables the administration and organisation of the various areas within these organisations, in line with the sector's legal and functional requirements.
With more than 30 years of experience and more than 3,000 customers from the north to the south of the country, F3M is accredited by the Union of Portuguese Misericórdias and also has a protocol with the Union of Mutual Associations.

An Enterprise Resource Planning system (ERP) is software that integrates all of an organisation's data and processes. From a functional perspective, it can integrate the accounting, human resources, marketing and sales systems, etc. From a management perspective, it can integrate transaction processing systems and decision support systems, among others.
An ERP can be described as software developed to integrate an organisation's various departments in order to automate and optimise internal processes in a secure database for all information.
1. Streamlined operations and better use of resources
Thanks to the integration of the various departments, access to information is made easier, bringing benefits in terms of making the most of the time and resources required;
2. More organised and integrated activity management
This has a positive impact both on the daily work of employees, who carry out their tasks more quickly and simply, and on service users, who receive more appropriate and personalised care;
3. Customisation
The software can be customised with the tools each institution needs, and new features can be added as the organisation grows.
4. Integration of data from all departments
By integrating all departments and information, a single platform that centralises all data can be used, making it possible to make the most of resources and reduce costs.
5. Greater control and optimisation of processes
With all data integrated, it becomes possible to control and optimise administrative processes, and the financial, alert creation, equipment management and human resources tools make it possible to improve the daily workflow and, consequently, operational management.
6. 360º analysis of the IPSS
Integration enables a more detailed and comprehensive analysis of the institution's overall situation. As a result, insights become more useful and efficient for decision-making and can be decisive in anticipating challenges or possible failures;

- Human Resources Management module which, among various functions, makes it possible to manage employment contracts, process payments and control the duty rotas and shift schedules of all employees;
- Module for creating and managing service users' internal records, making it easier to access the information needed to provide faster and more appropriate care, as well as managing service users on the waiting list;
- Various Reports: Documents by heading report, IRS withholding tax report, Summary of paid documents report, Payment ageing report.
The F3M ERP includes a Daily Activity Record (RAD) module that enables the management and evaluation of the institution's teams across its various social services. Some of the features of this module include:
- The ability to run in the Cloud, so that data is kept in a secure location and can be accessed from any device;
- Planning, control and analysis of activities carried out and not carried out, with the option of adding notes;
- Incident management and creation of alerts so that all employees have access to what has happened;
- The ability to create and pass on the information needed for shift handovers between employees;
Located in Lavra, Matosinhos, Centro Social Padre Ramos is a non-profit Private Social Solidarity Institution. This IPSS has a childcare unit, with a nursery, kindergarten and after-school activities centre, as well as an elderly care unit that includes a residential home with capacity for 63 elderly people, a day centre, home support and a social centre.
Due to the need to streamline their internal operations, they decided to proceed with ISO 9001 certification. To this end, they turned to F3M's management tools, in particular RAD.
Through this module, they were able to meet the need to keep documented records of all the care provided to service users, namely in terms of organising activities and identifying the employees responsible for each one, as well as sharing information among staff.
The Daily Activity Record gave Centro Social Padre Ramos greater agility, optimisation and effectiveness in its daily processes.
